SOU Workday Quick Reference Guide
Change Work Space

Overview
This guide covers how the designated Building Manager, as defined by SOU Facilities, Management, and Planning, can Change Work Space in Workday for an employee/building occupant. Work Space involves a string of information that identifies the campus, building, floor, and room.

Before You Start
User will need to be assigned to the Building Manager security role with permission given to the Business Process Definition Change Work Location. If not, please 1) verify the user has been confirmed by SOU Facilities, Management, and Planning and if so, 2) contact Human Resources (hrs@sou.edu/541-552-8553) to be added to the security role.

You will need to have the following information:
• Campus Location (Ashland or Medford)
• Building Name
• Floor Level
• Room Number

PROCESS
Where an employee’s work space needs to be updated, the process first requires the Building Manager to type Change Work Space in the Workday search bar and select Change Work Space Task.

Select the Worker who needs their work space updated.

Enter the following information in the Change Work Space page:

  • FIELD
  • Effective Date
  • Work Space
  • Submit Button
  • CONSIDERATIONS
  • This must be today
  • If the field is blank, type in the building name, for example Churchill.
    If the current Work Space is no longer valid, you can click the X in the Work Space field to remove it and then type in the new one or search using the method described above.

  • Select the Submit Button to save your changes.
